VoIP and Teams Phone

A furniture manufacturer in Kayseri employs 22 people across a city-centre showroom and a workshop in the organised industrial zone, and its sales staff spend weeks each year at trade fairs or visiting dealers. All incoming traffic goes through a PBX installed fifteen years ago. Adding an extension requires a visit from the maintenance firm, rings after 18:00 go unheard, and nobody can say how many orders were lost to unanswered calls. Moving to a cloud PBX or Teams Phone means the company number reaches whoever is free, on whatever they have to hand: a laptop, an app on a work mobile or an IP handset at the workbench. If the showroom is engaged, the workshop rings; if the workshop does not pick up, the duty salesperson does. We handle the whole project remotely: selecting the platform and operator, steering the port request through, designing the routing and getting staff comfortable with it. Handsets are bought by you from the list we provide, and physical installation is outside our scope.

Agree the scope with the engineer who will do the work

Which platform?

Firms already on Microsoft 365 often do best with Teams Phone, linked through Direct Routing to a trunk from a Turkish licensed operator, or through Operator Connect if it is available. Everyone else is usually better served by an independent cloud PBX with its own mobile app and browser admin, which tends to cost less and is easier to run.

Porting the numbers

Landline numbers, the 0850 line and company mobiles are transferred to the new operator. We review the forms before they go in and pick a quiet day for the switch. Because Turkish numbers can only be held by operators authorised by the regulator BTK, a VoIP provider based abroad is not an option, and the shortlist reflects that.

Routing design

Greeting, press-one menu, hunt groups ringing together or in sequence, after-hours forwarding to a duty mobile, voicemail sent as an email attachment, and a schedule that knows about public holidays and the half-day eves before them.

When the office goes offline

Because the switchboard lives in the cloud, a broken office connection simply triggers forwarding to mobiles. These fallback rules are written and rehearsed before launch.

Recording under KVKK

Recording happens only with a defined purpose, an announcement at the start, a fixed retention period and tightly limited access. It is listed in your personal data inventory and in your retention and destruction policy.

Devices and CRM link

Handsets and headsets come from our tested list and are provisioned remotely. Optionally, an incoming number opens the matching contact in HubSpot, Pipedrive or Salesforce.

Teams of 10 to 30 typically switch within three to four weeks, the port request being the slowest part.

The holiday calendar is the PBX calendar too. Religious holidays in Turkey fall on different dates each year, and the eve is a half day in most workplaces. Forget to update the switchboard and a customer phoning on the first morning of the bayram hears “all our lines are busy” on repeat, or lands on a handset ringing in a deserted office. At the start of each year we enter public holidays and eves into the schedule, and ahead of each holiday we check the greeting with you.

Frequently asked questions

No. The switchboard runs in the cloud, so it keeps accepting calls and forwards them to mobiles under the agreed rules until the office link recovers. That is one of the strongest reasons to leave an on-premises box behind.

Usually because the subscriber details do not match the losing operator's records to the letter: a shortened company title, an out-of-date address, or a line held by a different legal entity. We check every field against your latest bill before submission. Do not cancel the old contract until the port is finished.

Emergency dialling has to work on the new platform. We make sure each line carries the right address details and that 112 is routed the way the operator requires. For alarm panels or lift lines, please ask the company that services them which kind of connection they need.

Voice needs only about 100 kbit/s per conversation. What matters is a steady connection with minimal packet loss. We measure that in advance and, where needed, give voice priority on the router or firewall.

No. Our work is purely remote: platform, accounts and devices are configured from a distance. Your staff unbox and connect the handsets following our guide, and any cabling is done by an electrician or local supplier.
