By nine in the morning the waiting area is filling up, and every system has to cooperate for the rest of the day. Patients are registered, treatments covered by the social security institution need approval through MEDULA, earlier lab results are pulled up, and the doctor signs an e-prescription with an e-signature card. Should the practice application hang, or a desk PC suddenly fail to find the server, the queue at the front desk grows within minutes. Apply runs IT for private practices, dental clinics, polyclinics, physiotherapy and psychotherapy centres, and does so entirely remotely. Throughout, we treat health information the way KVKK expects: as a special category of personal data needing far tighter protection than an ordinary customer list.

Clinic software and its server

Patient files may sit on a compact server in a back cupboard or with the developer's hosted service; either way we take care of the operating system, database, patching and monitoring. Ahead of an upgrade every desk PC is readied, and once it is installed we confirm that e-Nabız reporting, MEDULA and e-Reçete connections, printers and scanners still behave. How the application itself works, and its internal settings, remain the vendor's domain.

Who can open which file

Everyone signs in as themselves rather than through a common front-desk login, rights follow each person's role, idle PCs lock automatically, laptop drives are encrypted and every file access is logged. If a patient asks who has looked at their records, you answer from the log rather than from memory. When an assistant leaves or a locum doctor finishes a stint, their access ends that same day.

Backing up patient records

Several backup runs across the day, an off-premises copy ransomware cannot touch and restore drills at regular intervals. Bulky files such as panoramic X-rays and CT scans get a plan of their own. The law expects medical files to be kept for many years; which periods bind your practice is for your legal adviser to confirm, and we set storage up to match.

Results, bookings and messages

Lab results and images never travel as plain email attachments, let alone from someone's personal WhatsApp; an encrypted channel or patient portal does that job. Online booking forms collect only what is genuinely needed, the SMS reminder service is bound by a processor agreement, and you know which country each of these services stores data in.

Desks, devices and network

Computers at reception and in treatment rooms, printers, e-signature card readers and a guest Wi-Fi for the waiting area kept fully apart from the internal network. Updates and faults are handled over remote access. Medical equipment such as panoramic X-ray units, intraoral scanners or ultrasound stays with its manufacturer or authorised service agent.

A risk review focused on health data, a read-through of contracts with the software vendor, host and booking platform, and an updated personal data inventory. For the privacy notice and any consent wording on the registration form, your lawyer supplies the text and we handle where and how it appears.

Personal accounts, two-step sign-in, encryption, verified backups and a 4.5G fallback line, all scheduled for agreed hours so the appointment book is never disturbed.

Helpdesk Monday to Friday, 09:00-18:00 Turkey time, a daily look at backup results and periodic permission reviews, for example when an assistant goes on maternity leave or a new dentist joins for the summer.

Imagine a four-dentist clinic in Ankara. The reception PC runs on a single shared “clinic” login whose password is taped to the monitor. The inventory turns up something else: an assistant who left months ago can still reach the patient list through a remote access app she installed on her home computer. Nobody acted in bad faith, yet if a breach happened it would be impossible to say who saw what. Personal accounts, removal of stray remote tools and an access log take a few hours of work and clear up that uncertainty for good.

Frequently asked questions

Treatment catalogues, fee tables, templates and institution codes are the job of the developer or its local dealer. Our remit is the layer beneath and the systems around it: hosting, database, backups, networking, user accounts and security. If an issue straddles both, our engineer raises it directly with the developer's support desk, sparing you from passing messages back and forth.

That needs a legal view. Health information is special-category data, so KVKK's additional security expectations apply; hosting outside Turkey brings in the cross-border transfer rules; and health legislation has provisions of its own. You decide with your legal adviser. Apply compares options, reviews the provider's contract and data location, plans the migration and documents the outcome for your KVKK records.

Sending health data from personal phones and chat apps means losing control of it: a message can reach the wrong person, a phone can go missing, and when an employee leaves the conversation history goes too. Many results already show up in the patient's e-Nabız account. For the rest we set up encrypted email or a password-protected download link. Which channel to use, and how patients are informed about it, you settle with your legal adviser.

When a whole district loses service, there is nothing a practice can do about it, which is why you need a short paper routine: admitting patients while offline and entering the records once the link returns. A fault affecting only your connection is a different story. A router with a mobile 4.5G or 5G SIM, which you buy from your carrier, takes over by itself within seconds, and the front desk frequently carries on unaware.

The devices themselves, no: servicing and calibrating imaging units, intraoral scanners, cardiographs or ultrasound belongs to the maker or its approved engineers. What we secure is everything they plug into. Each device sits in its own isolated slice of the network, may talk only to the systems it genuinely requires, and has no outside maintenance tunnel left permanently open. An ageing control PC that the maker no longer updates therefore cannot become an attacker's route into patient files.

No. We have no field technicians and handle every task through remote access. For the occasional physical job, like plugging a cable into a different port or changing the modem, a team member does it with our engineer watching and directing on a video call, or your usual local electrician steps in. At a physiotherapy centre with two treatment rooms, replacing a network switch this way takes about twenty minutes over lunch.
