Imagine an 80-room hotel in Antalya staffed by sixty people in high season and twenty in winter. Every booking request lands in one address that only works on the reception computer. Group quotes go out from the sales manager's personal Gmail. Each spring, new seasonal staff inherit last year's password from a sticky note, and the conference room is reserved in a paper diary. Last season a handful of guests received a convincing but fake confirmation, seemingly from the hotel, asking them to pay to a different IBAN. Plenty of small and mid-sized companies in other sectors have ended up with the same patchwork. A proper business email setup gives each employee a personal address on the company domain, turns team addresses into shared inboxes everyone can work from, and links calendars with rooms and pool cars. Most importantly it locks down your domain so that impostors cannot send mail under your name, and when an employee leaves, the correspondence remains with the business.

Agree the scope with the engineer who will do the work

Find the senders first, then touch DNS

Before publishing SPF, DKIM and DMARC we trace every system that sends as your domain: accounting software, newsletter platform, contact form, booking engine, e-invoice notices from your integrator, even the office copier. Miss one and its messages will quietly start landing in junk folders.

Team inboxes

Addresses like info@, reservations@ or orders@ that several people answer, with one shared history and a clear record of who replied. Password sharing disappears.

Calendars and bookable resources

Department calendars, availability shown when you invite colleagues, meeting links for Teams or Google Meet, and resources such as the boardroom, company vehicles or spare laptops that can be reserved.

Bringing the old mail across

Every message with its folders and attachments is copied from your current host, from Gmail or from an in-house mail server, while new mail keeps arriving without a gap.

Retention

Policies ensure messages survive even when someone empties their bin, which helps with complaints, disputes and emails that act as business records. This does not replace KEP where registered electronic mail is legally required, but it does protect day-to-day correspondence.

Phones under control

Mail and calendars on company or personal phones are managed through Intune: screen lock, encryption and, if a phone goes missing, wiping only the business data.

Joiners, leavers and seasonal staff

Identities in Entra ID or the Google directory, a second factor for everyone and a set routine for arrivals and departures that holds up even when dozens of people join for a single season.

Fake invoices start with a domain that has no DMARC. Without that record, anyone can send an email that looks as if it came from your finance team or front desk, attach a believable invoice and slip in their own IBAN. We roll DMARC out in stages: first reporting only, then quarantine for suspicious mail, finally outright rejection. Forgeries stop, while genuine traffic like newsletters and booking confirmations keeps flowing.

Frequently asked questions

Teams already living in Excel, Teams, Logo or Business Central usually feel at home in Microsoft 365. If almost all work happens in a browser and you want the simplest option, Google Workspace fits well. We support both and will check what your subscription allows regarding where data is stored.

Of course. Registration stays where it is, and we edit only the DNS entries that require it. If a former agency still controls the domain, we help you reclaim it so it is registered to your company.

Microsoft currently sells frontline licences aimed at people who work mostly on phones or shared devices, which may cover reception, housekeeping or restaurant staff. We decide based on what each role truly needs. Shared inboxes such as info@ normally need no licence while they stay under Microsoft's size limit.

The account is disabled on the final working day and the mailbox is converted into a shared one for the successor. To handle this properly under KVKK, the practice should be set out in advance in an email use policy and communicated to staff through a privacy notice.
