Picture a nine-person mechanical engineering practice in Bornova, İzmir. Its quoting tool, a job-tracking database and a small upload portal for suppliers' drawings all sit on an old desktop PC balanced on a filing cabinet. No UPS, a monthly copy to a USB stick, and the person who configured it all left two years ago. One July afternoon a power spike fries the motherboard, and by lunchtime everyone understands how much of the business depended on that single box. For a firm in that situation, a virtual private server is usually the obvious next step: a slice of a professional data centre with processor cores, RAM and disk guaranteed to you. Electricity, cooling and faulty components stop being your concern, and the machine is reachable wherever you have a secure link. What a VPS rental does not include is anyone to operate it. The provider gives you a blank machine and that is where their involvement ends. Everything after that point is what we do: deciding where it should be hosted, securing it, moving your software over and keeping it in good shape month after month. All of it is carried out remotely, with no visits to data centres or to your office.
Creating a virtual machine takes two clicks. Whether it proves trustworthy depends on the decisions taken beforehand and on the dull, regular work that comes after.
We ask this first. A single accounting package may be better served by well-managed laptops and Microsoft 365; a heavy ERP may justify a dedicated server. A VPS only makes our shortlist when workload, budget and headcount genuinely call for one.
Turkish data centres if the data should not leave the country; Hetzner, OVHcloud or IONOS when price and simplicity lead; Azure, AWS or Google Cloud in their European regions if your company already holds accounts with them. A single sheet compares monthly price, bandwidth charges, support options and contract terms.
Up-to-date OS, key-based SSH or a second factor in place of passwords, a firewall that lets through only the ports you need, unused services disabled, and brute-force attempts banned automatically. Your data is copied over only once all of that is in place.
Database ports, control panels and RDP never face the open internet. Staff reach them via VPN or a gateway requiring multi-factor sign-in, so from outside the only visible thing is the service you deliberately publish.
Besides disk, RAM and CPU graphs, an external check hits your application every sixty seconds and logs its response time. A fault reaches our dashboard before your colleagues start complaining that the system is down.
A snapshot lives with the same provider, so treat it as an undo button and nothing more. The true backup is encrypted nightly and sent to a second company's storage. Every quarter we pull back a random file and a database and note the time it took.
A simple VPS is usable after a few working days. If an application that has accumulated years of data needs to move too, the cut-over is booked for an evening, normally in the middle of the week.
In under an hour online we list the software that must run, the number of simultaneous users, the licences you hold and where your data is stored right now.
The machine is created under your company's account, hardened and connected to monitoring and backup. At this point it holds no customer or employee information whatsoever.
Two key users try a test migration and we close any gaps they find. The live move then happens at the agreed hour, and staff PCs are repointed remotely.
Logins are stored in your own password manager, a short description of the build is delivered, and you watch one full restore with us in Teams or Google Meet so the procedure is familiar.
The server account should be in your name. It is surprisingly common for a firm's server to be sitting inside the web agency's or a previous IT contractor's customer account. When the relationship ends, a painful negotiation over access, billing and data follows. We register every VPS under your own company, with invoices addressed to you and an emergency login that stays with you. Should you ever switch support provider, you pass on one password and one document rather than an entire server.
Usually yes, but the design matters. Hosting only the database remotely and running the client on office PCs over the internet tends to be sluggish and brittle. It is far more reliable to run the application on the server too and let people connect by remote desktop. We check licence terms with the vendor or your reseller.
Your software makes that choice. Web apps, APIs and open-source tools run happily on Linux, which is lean and free of licence fees. Windows-only accounting or production programs need Windows Server, and its licence goes into the cost comparison.
Some sell a paid backup option, yet it is stored inside the same account and often on the same platform. A hijacked or accidentally deleted account can take that copy down with it. For that reason we keep an independent copy at a different company, protected by separate credentials.
Storing personal data in an EU facility is treated as a transfer abroad under Turkey's data protection law, which may mean standard contractual clauses and a notification to the Authority. You and your lawyer make that call. We contribute by documenting where the data is held and what safeguards protect it.
Two separate items. The hosting company invoices you directly for the machine itself. Our work is billed at €55 per hour plus VAT, or it comes as part of a plan: Start from €490, Business at €1,090, Premium from €2,190, each per month and plus VAT.
